Payment & Transaction Policy
This policy explains payment requirements, deposits, EFT payments, proof of payment, cleared funds, invoices, refunds, payment disputes and transaction procedures applicable to T-Shirts South Africa.
This Payment & Transaction Policy applies to payments made to T-Shirts South Africa in connection with quotations, orders, custom printing, personalised products and other goods or services supplied by us.
The policy should be read together with our Terms of Service, Custom Printing & Personalised Products Policy, and other applicable transaction documents.
Important Payment Notice
Unless expressly agreed otherwise, an order is not regarded as ready to enter production merely because proof of payment has been sent. Where advance payment is required, payment may need to be received and verified in T-Shirts South Africa's nominated account before stock is committed or production begins.
01. Purpose of This Policy
This policy explains how payments and financial transactions relating to T-Shirts South Africa orders are handled.
It covers matters including:
- Quotations
- Invoices
- Deposits
- Advance payments
- Electronic funds transfers
- Proof of payment
- Payment references
- Cleared funds
- Failed payments
- Overpayments
- Refunds
- Chargebacks
- Fraud prevention
- Payment disputes
02. Accepted Payment Methods
Payment methods available for a particular transaction may be communicated in the relevant quotation, invoice or payment instruction.
Depending on the transaction, accepted methods may include:
Electronic Funds Transfer
Payment directly into the nominated T-Shirts South Africa bank account using the applicable payment reference.
Electronic Payment
Where an approved electronic payment facility or payment gateway is made available by us.
Approved Account Terms
Where credit or account terms have been expressly approved in writing for a particular customer.
Other Approved Methods
Any other payment method expressly authorised by T-Shirts South Africa for the relevant transaction.
03. Official Banking Details
Customers must use only banking details appearing on an authentic T-Shirts South Africa quotation, invoice or other authorised communication.
Banking-detail fraud and email interception can occur. If you receive a message stating that our bank account has changed, independently verify the new details with T-Shirts South Africa using a trusted telephone number before making payment.
Do not rely solely on bank-account-change instructions received by email, WhatsApp or another electronic communication without independent verification.
04. Quotations
A quotation sets out pricing based on the information available at the time it is issued.
The quoted amount may depend on:
- Product
- Quantity
- Garment sizes
- Garment colours
- Printing method
- Number of print positions
- Embroidery requirements
- Artwork requirements
- Customisation
- Supplier pricing
Unless otherwise expressly stated, sending a quotation does not itself mean that stock has been reserved.
05. Invoices
Invoices may be issued in connection with confirmed or proposed transactions.
Customers should check the invoice before payment and notify us promptly if any material information appears incorrect.
An invoice may contain:
- Customer or company information
- Invoice number
- Products or services
- Quantities
- Pricing
- Applicable tax information
- Payment terms
- Banking details
- Payment reference
06. Prices & Currency
Unless expressly indicated otherwise, amounts quoted by T-Shirts South Africa are payable in South African Rand (ZAR).
Whether VAT is included or excluded must be determined from the applicable quotation or invoice and the tax status applicable to the transaction.
Customers should refer to the actual quotation or invoice rather than assuming the tax treatment of an amount.
07. Deposits
Certain orders may require a deposit before stock is ordered, artwork preparation begins or production commences.
The required deposit, if any, will be communicated in the applicable quotation, invoice or order confirmation.
A deposit may be applied toward costs including:
- Garment procurement
- Artwork preparation
- Printing setup
- Embroidery digitisation
- Materials
- Production capacity
- Other costs associated with the order
08. Deposits & Cancellation
Payment of a deposit does not remove any cancellation or consumer rights that apply under South African law.
However, where a customer cancels an order after costs have already been reasonably incurred, the treatment of the deposit may depend on:
- The applicable agreement
- Whether stock has been specially ordered
- Whether artwork work has commenced
- Whether setup costs have been incurred
- Whether production has commenced
- Whether the goods are special-order goods
- Applicable Consumer Protection Act requirements
Any cancellation amount retained must comply with applicable law.
09. Full Payment in Advance
T-Shirts South Africa may require full payment before:
- Ordering stock
- Starting production
- Commencing custom printing
- Commencing embroidery
- Releasing completed goods
The applicable payment requirement will be communicated in the quotation, invoice or order confirmation.
10. Electronic Funds Transfer (EFT)
Customers making payment by EFT should:
- Use the correct nominated bank account
- Use the requested payment reference
- Pay the correct amount
- Verify banking details where appropriate
- Retain their bank transaction record
An incorrect reference can delay allocation of a payment to the correct order.
11. Payment Reference
Where a quotation, invoice or order number is supplied, customers should use that reference when making payment.
Use the invoice, quotation or order number shown on your T-Shirts South Africa documentation.
If no reference is available, contact us before payment where necessary.
12. Proof of Payment
Customers may send proof of payment to assist us in locating and allocating an electronic payment.
However:
A PDF, screenshot, email notification or banking confirmation showing that a payment was initiated does not necessarily establish that irrevocable funds have been received in our bank account.
13. Cleared Funds
Where payment in advance is required, T-Shirts South Africa may wait until payment is visible and verified in the nominated bank account before:
- Confirming the order
- Reserving or purchasing stock
- Commencing production
- Releasing completed goods
This helps protect both parties against payment errors, fraudulent proofs of payment and reversed or unsuccessful transactions.
14. Payment Verification
We may take reasonable steps to verify a payment where:
- The payment cannot be matched to an order
- The payment reference is incorrect
- The amount differs from the invoice
- The payment appears unusual
- Fraud is reasonably suspected
- The payer differs materially from the customer
- A payment appears to have been reversed
Verification does not mean that wrongdoing is assumed.
15. Fraudulent Proof of Payment
Submitting a false, altered, fabricated or fraudulent proof of payment may result in:
- Suspension of the order
- Refusal to release goods
- Cancellation where legally appropriate
- Recovery of amounts lawfully due
- Reporting suspected criminal conduct to appropriate authorities
T-Shirts South Africa reserves all lawful rights where fraudulent payment conduct is reasonably established.
16. Incorrect Payments
Customers should check the amount before authorising payment.
If you accidentally pay an incorrect amount, notify us as soon as possible and provide sufficient information for the payment to be identified.
17. Underpayments
Where an amount received is less than the amount due, the order may remain unpaid or partially paid until the outstanding amount has been received.
Production or release of goods may be delayed where full payment is a condition of the transaction.
18. Overpayments
Where a customer has accidentally paid more than the amount lawfully due, the overpayment may be:
- Refunded
- Applied against another agreed amount
- Otherwise dealt with as agreed with the customer
We may require reasonable verification before refunding an overpayment.
19. Failed Payments
A transaction may fail because of:
- Insufficient funds
- Incorrect banking information
- Banking-system failure
- Payment-gateway failure
- Security verification failure
- Transaction limits
- Payment reversal
- Other banking or technical reasons
An order may remain unpaid until a successful payment has been received.
20. Payment Gateway Transactions
Where we make a third-party payment gateway available, the transaction may also be subject to that provider's terms, security procedures and privacy practices.
T-Shirts South Africa may receive transaction information needed to:
- Confirm payment status
- Allocate payment
- Process the relevant order
- Investigate transaction disputes
- Prevent fraud
We do not intentionally require customers to provide complete card security credentials directly to us where payment is securely processed by an authorised third-party payment provider.
21. Card & Financial Information
Where card payments are made through an external payment processor, card information may be processed by that payment provider according to its security and privacy obligations.
Customers should not send sensitive card information, PIN numbers, online banking passwords or one-time passwords to T-Shirts South Africa by ordinary email or WhatsApp.
22. Payment Security
Customers should take reasonable precautions when making electronic payments.
We recommend:
- Checking the beneficiary name
- Checking account details carefully
- Verifying unexpected banking-detail changes
- Using secure banking devices and networks
- Checking the payment reference
- Retaining payment records
- Reporting suspicious communications immediately
23. Banking Detail Changes
Banking-detail change fraud is a known risk in electronic commerce.
If banking details appear different from details previously used, customers should independently confirm the change with T-Shirts South Africa before payment.
Where a fraudulent third party impersonates T-Shirts South Africa, the legal responsibility for resulting loss will depend on the specific circumstances and applicable law.
Nothing in this policy excludes liability that cannot lawfully be excluded.
24. Production & Payment
For custom or personalised work, production may not commence until all applicable requirements have been satisfied.
These may include:
Quotation Accepted
The products and pricing are accepted.
Artwork Approved
Applicable printing or branding artwork is approved.
Sizes & Quantities Confirmed
The final garment requirements are confirmed.
Payment Received
The required deposit or full payment is received and verified.
Production Begins
The order enters the applicable production workflow.
25. Outstanding Balances
Where a deposit has been paid and a balance remains due, the outstanding balance must be paid according to the agreed payment terms.
Where full payment before collection is required, T-Shirts South Africa may retain possession of completed goods until the amount lawfully due has been received, subject to applicable law.
26. Collection Before Payment
Customers, employees, representatives and customer-appointed couriers should not assume that an order may be collected merely because it has been completed.
Where payment remains outstanding, collection may be withheld until the applicable payment requirements have been satisfied.
27. Credit & Account Customers
Credit or account terms apply only where expressly approved by T-Shirts South Africa.
An established trading relationship does not automatically create a credit facility.
Approved account customers must comply with the payment period and credit conditions specifically agreed with T-Shirts South Africa.
28. Late Payments
Where payment is due under agreed account terms and remains unpaid, T-Shirts South Africa may take lawful steps to recover amounts due.
Any interest, collection cost or other charge will apply only where lawfully recoverable and where an appropriate contractual or legal basis exists.
29. Refunds
Refunds may arise where:
- An overpayment was made
- An order is lawfully cancelled
- A statutory refund remedy applies
- A refund is otherwise agreed
The existence and amount of a refund will depend on the relevant transaction and applicable law.
Nothing in this policy is intended to remove refund rights available under the Consumer Protection Act or other applicable legislation.
30. Refund Method
Where reasonably possible, an approved refund may be made using an appropriate method linked to the original transaction or into a verified bank account belonging to the person or entity entitled to receive the refund.
Reasonable verification may be requested to prevent fraud or payment diversion.
31. Refund Verification
Before processing certain refunds, we may request:
- Customer name
- Company name
- Invoice number
- Proof of original payment
- Reason for refund
- Verified banking information where required
We will endeavour not to request more information than is reasonably necessary for the transaction.
32. Refunds & Customised Products
Customised and personalised products may be treated differently from ordinary goods where a customer simply changes their mind.
However, customisation does not remove statutory remedies that may apply to:
- Defective goods
- Unsafe goods
- Incorrect goods
- Goods materially failing to conform to agreed specifications
- Other circumstances protected by law
Please read our Custom Printing & Personalised Products Policy for more information.
33. Reversed Transactions
If a bank or payment provider reverses a transaction after an order has been processed, the amount may again become outstanding unless the reversal resulted from a lawful refund, valid dispute or other circumstance entitling the payer to reversal.
We may contact the customer to investigate the reason for the reversal.
34. Chargebacks
Where a payment provider permits a cardholder or payer to dispute a transaction, the chargeback procedure is governed in part by the relevant bank, card scheme or payment provider.
Where a chargeback is raised, T-Shirts South Africa may provide lawful transaction evidence such as:
- Quotation records
- Invoices
- Order confirmations
- Payment records
- Artwork approvals
- Collection records
- Customer communications
A customer should not knowingly initiate a fraudulent chargeback for goods or services legitimately supplied.
35. Payment Disputes
If you believe:
- You were charged incorrectly

- An EFT cannot be located
- A refund remains outstanding

Applicable electronic transaction information may include supplier identity, contact details, pricing, payment arrangements, contractual terms and other consumer information required by law.
38. Consumer Protection
Nothing in this Payment & Transaction Policy is intended to exclude or restrict rights that cannot lawfully be excluded under the Consumer Protection Act 68 of 2008.
Any payment, cancellation, refund or transaction provision in this policy must be interpreted subject to applicable South African consumer law.
Where a mandatory consumer right conflicts with this policy, the applicable legal right takes precedence.
39. Fraud Prevention
T-Shirts South Africa may take reasonable measures intended to prevent financial fraud.
These may include:
- Payment verification
- Order verification
- Banking-detail verification
- Identity verification where reasonably necessary
- Review of unusual transactions

41. Payment Confirmation
Where appropriate, a payment may be acknowledged through an invoice, receipt, order update, email or other transaction record.
Customers should retain these records together with their own bank transaction records.
42. Errors in Payment Information
If an incorrect amount, bank detail, reference or other payment instruction appears on documentation issued by us, notify us as soon as possible so that the matter can be investigated.
